Refund & Cancellation Policy

The conditions under which fees paid to Hostease are refundable.

This Refund & Cancellation Policy ("Policy") describes the conditions under which fees paid to Hostease are refundable. It is incorporated by reference into the Hostease Terms of Service. Capitalized terms not defined here have the meaning given in the Terms of Service.

The detailed terms below control if there is any conflict with the table.

2. Shared hosting — 30-day money-back guarantee

If you purchase a new shared hosting plan on a 6-month, annual, or longer billing cycle and request cancellation within thirty (30) calendar days of the initial order, Hostease will refund the hosting fees you paid for that plan, less the following non-refundable items:

  • Any free domain registered through Hostease as part of the plan — USD 19.95 per domain will be deducted from the refund, and the domain will remain registered in your name for the balance of its term.
  • Any free SSL certificate provided with the plan — USD 30.00 will be deducted from the refund.
  • Any add-ons, one-time services, or third-party fees as described in Sections 5–8.

Renewals of shared hosting plans are non-refundable. Monthly billing cycles are excluded from the 30-day guarantee in all cases. Hostease may, acting reasonably, decline a refund request where the same customer has repeatedly purchased and cancelled comparable plans within a short period in a manner that indicates abuse of this Policy; in such cases, Hostease will explain the basis for the decision in writing.

3. VPS and dedicated servers — non-refundable

VPS plans and dedicated servers are non-refundable. Once a VPS or dedicated server has been provisioned, the fees paid for the current billing cycle will not be refunded in whole or in part, including where the service has not been used. Service-level credits issued under the Service Level Agreement are the sole remedy for documented downtime and are not paid in cash.

You may cancel a VPS or dedicated server at any time to prevent the next renewal; cancellation takes effect at the end of the current paid term.

4. Domains, SSL, and Business Email

4.1 Domain registration and transfer

Domain registration and transfer fees are refundable only if you request cancellation within four (4) calendar days of the order, and only where the registry permits cancellation of the registration. Certain top-level domains (including but not limited to ccTLDs, premium domains, and any TLD whose registry does not support refund) are non-refundable in all cases. If a refund is approved, the domain will be deleted from your account and may be released to the registry.

4.2 SSL certificates

SSL certificate fees are refundable if you request cancellation within thirty (30) calendar days of issuance. Refunded certificates will be revoked through the issuing certificate authority; you must remove the certificate from your servers immediately.

4.3 Business Email

Business Email subscription fees are refundable if you request cancellation within thirty (30) calendar days of the original purchase. After day 30, fees for the current term are non-refundable. Storage and messages associated with the mailbox will be deleted on cancellation and are not recoverable.

5. Website design and one-time services

For website design, custom development, migration, server configuration, and other one-time professional services, fees are refundable only until both of the following have occurred:

  1. You have confirmed the scope of work in writing (including by email or support ticket); and
  2. Hostease has begun production work on the project.

Once both conditions are met, fees are non-refundable, including for portions of the project not yet completed. Hostease will, on request, provide a written summary of work performed.

6. Renewals and automatic billing

Hostease services renew automatically at the end of each billing term unless you turn off auto-renewal in advance. You consent to automatic renewal when you select an auto-renew option at checkout or in your client area. Hostease will send a renewal reminder by email at least fifteen (15) days before the renewal date, including the renewal amount and the date the charge will occur. You can disable auto-renewal at any time, using the same path you used to enable it, through your client area or by emailing billing@hostease.com.

Renewal fees are non-refundable once charged. Requests to cancel received on or after the renewal date take effect at the end of the new term; the renewal payment itself will not be refunded, except where required by applicable consumer-protection or auto-renewal law.

7. Chargebacks and disputed payments

Before initiating a chargeback or payment dispute, please contact Hostease so that we can resolve the issue directly. If you file a chargeback that Hostease reasonably determines to be abusive or unjustified — for example, a chargeback for a charge that is consistent with this Policy where you have not first contacted Hostease, or a chargeback for services that have been delivered and accepted — you agree to pay a chargeback handling fee of USD 50.00, to the extent permitted by applicable law, in addition to the disputed amount and any related fees. Hostease may suspend or terminate accounts subject to unresolved chargebacks.

Nothing in this Section limits your right to dispute an unauthorised charge with your card issuer, your statutory consumer-protection rights, or your rights with respect to services that have not been delivered as described.

8. Cancellation by Hostease

If Hostease terminates your account without cause, you will receive a pro-rated refund of any prepaid fees for the unused remainder of the then-current term, excluding non-refundable items listed in this Policy.

If Hostease terminates your account for cause — including violation of the Terms of Service, the Acceptable Use Policy, applicable law, or non-payment — you will not be entitled to any refund of fees paid.

9. How to request a refund

To request a refund or cancellation, contact billing@hostease.com from the email address on file for your account, including your client area account number, the service to be cancelled, and the reason for the request. We will respond within two (2) business days. Approved refunds are returned to the original payment method within fifteen (15) business days; processing times by the payment processor or bank may add additional delay.

10. Currency and taxes

All amounts are in U.S. dollars. Refunds are made in U.S. dollars; any currency conversion losses, payment-processor fees, or bank charges are not refundable. Taxes are refunded in accordance with applicable tax law and the rules of the original payment processor and tax jurisdiction.

11. Data after cancellation

When a service is cancelled, Hostease will retain your account-level data for thirty (30) calendar days from the effective cancellation date to allow you to export it. During this window, you may request a copy of your hosting account contents (files, databases, mailboxes) by contacting support@hostease.com; Hostease will provide reasonable assistance. After this 30-day window, data associated with the cancelled service may be permanently deleted and is not recoverable. SSL certificates refunded under Section 4.2 are revoked immediately, regardless of this window. Domains released under Section 4.1 follow the registry's redemption and deletion timelines.

12. Statutory consumer rights

Nothing in this Policy is intended to limit any non-waivable consumer rights you have under the laws of your country or state of residence, including cancellation, withdrawal, or refund rights under EU/UK consumer-protection law and U.S. state auto-renewal statutes where they apply. Where a mandatory consumer right conflicts with a provision of this Policy, the mandatory consumer right prevails to the extent of the conflict.

13. Changes to this Policy

Hostease may update this Policy from time to time. Material changes will be announced by email and on the Hostease website at least thirty (30) days before taking effect. Orders placed before the effective date of a change are governed by the version of the Policy in effect at the time of the order.
